The Team You’ll Work With:
To honor the diverse communities of our City, the Mayor's Office of Special Projects and Community Events (MOSPCE) organizes, manages, and directs Mayoral public ceremonies, celebrations, and receptions, in partnership with city agencies and with the support of the private sector. These special events are hosted at iconic sites across the City – including Gracie Mansion.
The Problems You’ll Solve:
The Event Manager will work directly with the Deputy Executive Director, Events and Protocol. The primary responsibility of the incumbent is to act as the project management lead in organizing special events throughout the five boroughs on behalf of the Mayor of the City of New York.
The Event Manager will work closely with the Deputy Executive Director to implement best practices that provide maximum benefit to the community and reflect a government that is progressive, diverse, and highly functional. This role is responsible for managing all event logistics, ensuring deadlines and budgets are met, and maintaining compliance with all safety regulations. Additionally, the Event Manager directs the coordination of pre-event activities and ensures staff are adequately prepared for execution.
- Partner with city agencies to plan and execute events. This includes working closely with external and internal vendors and other stakeholders to coordinate logistics and outline program formats, including site plans, production needs, and program management.
- Act as project lead while collaborating closely with the Deputy Executive Director to produce and manage events hosted by the Mayor, including legacy heritage events and other community events with internal citywide agencies or external partners.
- Provide coordination and project management to ensure event success, including event briefings, production schedules, guest lists, and mayoral advance sheets.
- Oversee budget management, the invitation process, and the development of all printed materials for City Hall approval.
- Manage staff, including event coordinators and interns, to ensure the seamless production of event activities.
- Direct all event details, including catering, entertainment, guest lists, transportation, venue preparation, special guest requirements, equipment, and promotional materials.
- Prepare and disseminate briefing and production materials in a timely fashion, providing logistical specifications to the briefing, speechwriting, and ceremonial teams.
- Proactively handle arising issues, troubleshoot emerging problems on event days, and conduct post-event debriefing sessions.
About You:
- You have experience working in a fast-paced environment.
- You are a great communicator (both written and verbal).
- You can interface effectively with professionals at all levels of the organization.
- You can work a flexible work schedule; Due to the required event duties of this. position, staff may be required to be on call and/or work on weekends, evenings, early mornings, and public holidays.
- Must be able to lift up to 35 lbs. and work outdoors in various weather conditions.
- A driver's license is preferred with the comfort of driving around New York City.
- Salary is commensurate with expertise, experience, and skills.

1. A baccalaureate degree from an accredited college and two years of experience in administration, research, management, analytical work, community work or community activities; or
2. A four-year high school diploma or its educational equivalent and six years of experience as described in "1" above; or
