Role: Project Operations Manager (PM)

At our client, the Project Manager is the Architect of Execution. While Account Managers handle the "Why" and the "Who" (client strategy and relationship), the PM owns the "How" and the "When." They are responsible for the structural integrity of every funnel, the timing of every creative asset, and the seamless handoff between specialists.

ROLE SUMMARY (PLAIN ENGLISH)

The PM is the custodian of the fulfillment machine. From the moment a strategy is signed off until the systems are live and stable, the PM is responsible for:

  • Deconstructing strategy into granular, actionable tasks for specialists.
  • Mapping timelines and enforcing hard deadlines across the creative and technical teams.
  • Quality Assurance (QA): Stress-testing every link, automation, and pixel before the client ever sees it.
  • Resource Allocation: Ensuring copywriters, editors, and GHL experts are utilized efficiently.
  • Operational Stability: Ensuring the "plumbing" of the client’s marketing engine never leaks.

WHAT THEY ARE / ARE NOT

THEY ARE:

·       Responsible for Velocity, Accuracy, and Logic

·       A driver of internal workflows and SOPs

·       Measured on Launch Dates and Technical Zero-Error

THEY ARE NOT:

·       The person deciding the high-level marketing spend

·       A "passive" note-taker in meetings

·       Responsible for the client's long-term business model

CORE RESPONSIBILITIES (WORKFLOW & EXECUTION)

PMs are responsible for the mechanical success of fulfillment:

  • Task Architecture: Translating Account Manager notes into clear briefs for Media Buyers and GHL Experts.
  • The "Traffic Controller": Managing the internal production queue to prevent specialist burnout or "idle time."
  • Technical QA: Performing the final "Green Light" check on all funnels, email sequences, and tracking codes.
  • Asset Management: Ensuring all raw footage, logos, and copy are organized and accessible to the team.
  • Timeline Enforcement: Moving the "Status" bar from To-Do to Done without constant reminders.
  • Internal Communication: Bridging the gap between the Account Manager’s vision and the Specialist’s output.

PERFORMANCE OWNERSHIP (NON-NEGOTIABLE)

Project Managers are accountable for:

  • Time-to-Launch: Minimizing the days between "Onboarding" and "Ads Live."
  • Error Rate: Maintaining a "Zero-Critical-Bug" standard for all technical deployments.
  • Process Compliance: Ensuring every specialist follows the internal SOPs perfectly.
  • Resource Velocity: Ensuring the "production line" never stops moving due to a missing asset.

THE 10 CORE HABITS OF THE HIVE PM

  1. Workflow Obsession: If it isn't in the Project Management tool, it doesn't exist.
  2. Anticipatory Logic: They see a missing logo or a broken API key 3 days before it becomes a problem.
  3. Ruthless Precision: "Close enough" is a failure.
  4. Clear Documentation: Every task has a clear "Definition of Done."
  5. Technical Literacy: They understand GHL workflows and Meta pixels enough to catch specialist mistakes.
  6. Direct Feedback: They hold specialists to a high standard of quality—no "fluff" allowed.
  7. SOP Advocacy: They don't just follow the process; they improve the process.
  8. Calm Under Pressure: When a launch breaks, they are the first to find the "hotfix."
  9. Data Integrity: They ensure the tracking data is actually flowing before the AM presents it.
  10. Radical Ownership: If a specialist misses a deadline, the PM owns the failure to "follow up" early.

REQUIRED BACKGROUND

Project Management Experience: 8+ years in an agency or tech-heavy environment.

Tool Mastery: Deep experience in GHL (GoHighLevel) and project tools like ClickUp, Monday, or Asana.

Operations Driven: Experience managing a "creative production line" (video editors, copywriters).
